Order Management Specialist

For our offices in Granollers we are currently looking for an Order Management Specialist to manage national accounts.

Responsibilities / Tasks

• Customer service
  • Answer phone calls and manage requests made by customers.
  • Distribute calls to other colleagues or departments if necessary.
  • Receive customer requests via e‑mail and handle their management.
  • Distribute requests from the common customer-service inbox to the appropriate colleagues.
• Quotation Management
  • Receive requests and manage quotations.
  • Follow up the acceptance of offers whenever possible and at the request of the superior.
• Order Management
  • Manage customer purchase orders.
  • Create sales orders and purchase goods for the central warehouse.
  • Follow‑up delivery and coordinate with Supply Chain & Logistics for order‑delivery tracking.
• Administrative management of service requests
  • Receive and register service requests in the system.
  • Assign initial date and service technician based on availability and geographic area.
  • Support Coordinators with allocation of resources.
• Invoicing of services
  • Generate proforma and final invoices after verifying documentation and data.
  • Track and receipt of orders for billing.
  • Issue credit notes in compliance with general approval guidelines.
• Management of maintenance contracts
  • Register relevant contract information in the system.
  • Control intervention dates and modifications in the list of materials during the contract term.
  • Handle billing related to maintenance activities.
• Management of incidents that arise during each phase of the “order to cash” process until resolution.
• Travel management for technicians and other colleagues.

Your Profile / Qualifications

• Studies in Administration & Finance.
• Minimum 1–2 years of experience in the back‑office department (Order Manager role).
• Training, knowledge, and experience in administration.
• Experience as part of a project‑management team.
• Sensitive leadership personality with experience leading high‑performance production organizations.
• Spanish (Native) and English (Advanced); Portuguese is an asset.
• High performance and result orientation.
• Outstanding communication skills.
• Convincing personality successfully pushing for results despite resistance.
• Ability to communicate with all levels within the organization.
