The Role:
We are seeking an Executive Assistant & Office Manager who will play a key role in supporting our leadership team and ensuring smooth organisational operations. This individual will handle administrative, communication, and project coordination tasks while contributing to the company’s dynamic, creative environment.
What Will You Be Doing?
1. Administrative Support
- Manage executive calendars, appointments, and travel arrangements.
- Organise meetings, prepare agendas, coordinate logistics, ensure participant alignment, and follow up on action items.
- Manage personal appointments, reservations, and errands for executives as needed.
- Support ad hoc personal tasks to enable executives to focus on strategic priorities.
2. Communication
- Serve as a liaison between executives, departments, clients, and stakeholders.
- Handle correspondence, emails, and phone communications with professionalism.
3. Project Coordination
- Track project deadlines, deliverables, and team responsibilities.
- Prepare reports, presentations, and documentation for ongoing projects.
4. Document Management
- Maintain organised records, files, and company documentation.
- Draft, proofread, and edit reports, memos, and other materials.
5. Office Management
- Oversee office supplies, equipment, and vendor relationships.
- Ensure an efficient, well‑maintained, and collaborative workspace.
- Coordinate office maintenance, repairs, and health & safety compliance.
- Manage relationships with building management, service providers, and external vendors.
- Support HR in onboarding logistics for new employees, including workspace setup and office access.
- Support HR in organising internal office events, team activities, and company‑wide initiatives to drive employee engagement and culture initiatives.
- Monitor and manage office budgets, expenses, and cost efficiencies.
What You Have
- Experience: 5 years as an executive assistant in the IT or gaming industry (or a related field).
- Education: Bachelor’s or master’s degree from a reputable institution with a strong academic record.
- Skills: Strong communication skills — fluent in written and spoken English. High professionalism and discretion when handling confidential information. Proactive problem‑solver with the ability to work independently or collaboratively. Excellent organisational and time‑management abilities.
