R&D Business Tools Operations Specialist I

The Role

We are seeking an R&D Enterprise Tools Operations Specialist I to join our global service and support team. You are well organized and detail-oriented. You will be the reliable service provider handling critical system requests within our core business tools, ensuring our scientists and engineers worldwide can focus on developing innovative products for patients.

This role requires building organizational know-how—understanding who our internal customers are, how they work, and solving problems in a way that anticipates their support needs. You are quick in learning new software systems and tools, enjoy helping your coworkers every day, and are motivated to innovate internal processes to automate tasks. Key Responsibilities

• Execute enterprise tool system tasks based on R&D customer requests, leveraging expert knowledge of business tools, compliance requirements, and R&D teams and processes.
• Fulfill customer tool requests using expertise in business systems and compliance standards.
• Provide professional, empathetic, and quick solutions to R&D operational issues and system problems; may be primary contact for R&D scientists and engineers.
• Act as subject matter expert for one or more complex R&D business applications.
• Develop deep expertise in key processes (e.g., records management, lab data, training system data, change requests) for timely and accurate execution.
• Use your expertise across business data and organizational structure to streamline operations and save significant time for R&D scientists.
• Build organizational know-how of R&D roles and priorities to deliver proactive system support.
• Demonstrate strong, collaborative customer service mindset within a diverse, global team.
• Identify manual steps and actively suggest opportunities for digitization and improvement.
• Apply or develop automation and AI tools to reduce administrative load on R&D staff.
• Ensure all activities strictly adhere to regulated R&D processes, supporting audits and data retrieval.

Who you are

• Education: Bachelor’s degree, preferably in a technical, scientific, or business discipline.
• Experience: 2+ years of professional experience in an operations, technical support, or system administration role, or equivalent academic projects/internships.
• Language Skills: Excellent written and verbal English. German language skills are a plus.
• System Proficiency: Demonstrated ability to quickly learn new software, systems, and processes. Prior experience in enterprise business applications is highly desirable (e.g., Electronic Document Management Systems, Learning Management Systems, or Project Management tools).
• Data analysis or AI experience (chatbots, prompt engineering, AI agents) is desirable.
• Tools: Experience with SAP, Cornerstone, Google Suite and Office Suite.
• Execution & Focus: Proven ability to complete complex, detailed tasks accurately and efficiently.
• People Skills: Demonstrated ability to work well with others in a hybrid virtual and global team environment.
• Schedule Flexibility: Support for the global nature of our work; meetings may require early evening hours for European roles or early morning hours for US roles.
