IE Business School is seeking a highly organized, proactive, and service‑oriented professional to join the Dean’s Office team on a temporary basis to cover a maternity leave. Reporting directly to the Dean of IE Business School and providing support to the Vice Deans, this role is essential in ensuring the smooth day‑to‑day operation of the Dean’s Office. The ideal candidate will be detail‑oriented, adaptable, and capable of managing multiple priorities in a fast‑paced and international academic environment.

We are looking for a person to join a full‑time position at María de Molina, 31 – Madrid .

Responsibilities

• Manage and coordinate the Dean’s calendar, including scheduling meetings, appointments, and institutional engagements.
• Provide administrative and operational support to the Dean and Vice Deans.
• Organize domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries.
• Coordinate meetings and events led by or involving the Dean’s Office.
• Support the planning and execution of internal events, ensuring seamless logistics and stakeholder coordination.
• Act as a key point of contact for internal and external stakeholders interacting with the Dean’s Office.
• Ensure the Dean’s Office is properly equipped and organized, overseeing office‑related needs and supplies.
• Assist with the preparation and distribution of surveys, reports, presentations, and other administrative materials as required.
• Support follow‑up actions, meeting coordination, and general administrative tasks across the Dean’s Office.
• Provide flexible, proactive assistance on a wide range of matters to support the Dean and Vice Deans in achieving their objectives.

Qualifications

• Previous experience as an Executive Assistant, Personal Assistant, Office Coordinator, or in a similar administrative support role.
• Excellent organizational and time‑management skills.
• Strong attention to detail and ability to manage confidential information with discretion.
• Ability to prioritize tasks and work effectively under pressure.
• Outstanding interpersonal and communication skills.
• Proactive mindset and strong service orientation.
• Fluency in English and Spanish, both written and spoken.
• Advanced knowledge of Microsoft Office and digital collaboration tools.
