de 30000 a 38000 £/añoRecruitGibraltar are currently helping our client who is a successful property company from the UK who are newly established in Gibraltar and need a Personal Assistant to join their expanding team. You wil support 2 senior principals in the company
You must live in the Gibraltar or Southern Spain area already for this 100% office based role from 9 - 5.30pm
What will you do as a PA?
• Manage and prioritise diaries for the Operations Director and Managing Director.
• Filter, triage, and draft responses to email and correspondence on behalf of leadership.
• Prepare briefing notes, agendas, and supporting papers ahead of meetings, calls, and site visits.
• Attend meetings as required to capture actions and circulate minutes within 24 hours.
• Manage the Gibraltar office environment — supplies, equipment, and visitor management.
• Arrange travel, accommodation, and logistics for leadership visits and site trips.
• Coordinate with group HR on employee records, contract issuance, and onboarding for Gibraltar-based staff.
• Maintain and track action logs, following up with internal and external stakeholders to ensure delivery.
• Maintain the group's central document management system (SharePoint IMS), filing accurately
• Coordinate across group entities for document submissions, compliance returns, and project updates.
• Manage onboarding administration for new operating subsidiaries as they join the group.
• Support procurement and supplier engagement administration — tracking quotes, purchase orders, and approvals.
• Draft, proofread, and issue formal correspondence, board papers, and reports on behalf of the Directors.
• Manage professional relationships with lawyers, accountants, regulatory contacts, and financial partners.
• Manage expense claims and reconciliation for the leadership team.
• Coordinate invoice processing, payment approvals, and supplier documentation.
• Prepare information packs and summaries to support commercial negotiations, acquisitions, and partner briefings What do you know that makes you a great PA? • Solid previous PA or EA experience supporting director or C-suite level principals.
• Advanced Microsoft 365 — Outlook, Word, Excel, Teams, SharePoint — used daily, not occasionally.
• Excellent written English.
• Absolute discretion. They will hear things that are commercially and personally sensitive from day one.
• Organised under pressure. The group operates at pace; the PA must absorb that pace, not amplify it.
• Professional presence. They will deal with lawyers, accountants, regulators, and senior business contacts. Salary £30k - £38k based on experience.
